How to import your 2025 data into 2026

In this guide we will show you how to import your employee's data from Payroll 2025 into Payroll 2026.

No, you do not have to have closed or finished your 2025 Payroll before starting in 2026.

Our software stores the data for 2025 and 2026 in two separate data files.

Wages processed in 2025 have no impact on 2026 payrolls as all calculations reset to zero on 1st January.

You can go ahead and process Payroll in both 2025 and 2026 at the same time.

The only information that is carried across between 2025 and 2026 is the employee's basic details like name, address, rates of pay etc.

How to Import Employee data into 2026

Step 1 - Open Payroll 2025

Open Payroll 2025 and leave it running in the background.

You do not need to open any companies, you can just minimize the 2025 screen

Step 2 - Open Payroll 2026

Open your Payroll 2026 software.

On the left hand side of the screen click on the "Import From Payroll 2025" link

The Import Wizard will now open, press Next to continue

On the next screen you will be asked if you want to carry forward any unused holidays into 2026. You can choose to not do so now, but come back later and import them. Select waht you want to do and press Next.

On the next screen you will be asked if you want to import directly from the 2025 software that you have opened, or if you want to import from a backup.

Then you will be asked which companies to import - choose those you want to import now. You can always come back later and import others.

Then just press Next and Import your data.

Its as simple as that!
